Basic Terms & Conditions

  • The booking balance is required 6 weeks before departure.
  • A Security Deposit of £500 shall be required at time of collection.
  • Drivers shall be between 25 and 75 years old with 2 or more years driving experience.
  • Drivers shall hold a full UK or EU driving licence with no more than 6 penalty points.
  • Vans are collected with a full tank of fuel and shall be returned full.

The full Cleddau Campers Terms and Conditions can be sent upon request, or will be sent as part of a welcome pack to confirm booking details following an enquiry.

Cleddau Campers Ltd hires the van (including any replacement vehicle) to you subject to this Rental agreement which incorporates these terms and conditions and the information and conditions contained on the booking form that you completed and agreed online or completed and signed on paper. In entering into this rental agreement you accept these terms and conditions and confirm that you will strictly comply with them. The rights and obligations contained in these terms and conditions govern your use of our van and are not transferable by you. You acknowledge that the van is owned by us and that any attempted transfer or sub letting of the van by anyone other than us is prohibited and a criminal offence.  We permit you to use the van on the terms of this Rental Agreement only.


The Booking Form must be completed and agreed. A non-refundable booking deposit of £150 (payable by bank transfer or credit/debit card). On receipt of the booking confirmation email from us, the signed terms and conditions, and your deposit this contract shall have effect. The balance of the hire charge (full charge less deposit) is due 6 weeks before the start of the rental period.  A security deposit of £500 is payable (bank transfer or credit/debit card) on collection of your van.

Hire Vouchers

Vouchers are non-refundable. They are valid for two years from the date of purchase. Once applied to a hire period as the ‘deposit’ the booking is confirmed and our normal terms and conditions of hire apply as regards cancellations, balance payments etc. No refund is issued when vouchers are applied to a hire period of lower value than the vouchers worth.

Choice of Van

Although we want you to have the van of your choice, we must allow for unforeseen circumstances.  We reserve the right to provide you with a suitable alternative, without notice, upon collection.  Should a substitute not be available upon collection, we will be responsible for a full refund of monies received by us only.

All rights are reserved by us to refuse any hire if in our reasonable opinion you are not suitable to take possession of the vehicle.


In the event of a cancellation the following applies:

  • Cancellations made more than 8 weeks before the rental period commences – 100% of the hire fee will be refunded, less the booking deposit paid and an admin fee of £25
  • Cancellations between 4 and 8 weeks before the rental period commences – 50% of the hire fee will be refunded, less the booking deposit paid and an admin fee of £25
  • Cancellations 4 weeks or less before the rental period commences – 100% of the total hire charges are forfeited even if a late booking has been made


Booking dates can be changed up to 8 weeks before departure for an admin fee of £25.

If you are unable to hire your vehicle for any reason, we are under no obligation to transfer your booking to another date or refund you money other than as specified above. For this reason we strongly recommend you take out a travel insurance policy that would cover such eventualities.

No refunds are payable where you change or cancel the agreement after departure.  We take no responsibility for any detention, delay, loss, damage that you might experience unless caused by our negligence.

Security Deposit

The £500 security deposit is refundable on safe return of the van, in the condition in which it left our premises subject to an inspection satisfactory to us.

If the vehicle is returned at the agreed time, without damage to the van or its contents, clean and with full tank of fuel, the security deposit will be refunded in full, within 7 days. If the vehicle is subject to damage whilst in the care of the customer including interior damage, theft or vandalism, the customer will be liable for the costs of all repairs or replacements. If the cost of repair exceeds the security deposit, the balance of repairs shall be passed on to the customer.


All vans have full comprehensive insurance cover for the duration of the hire period and covers the Vehicle, Vehicle Equipment, the Driver(s) and Permitted Passengers only. The cost of this insurance for one driver is included within the hire charge. Additional drivers must be added on to the policy prior to the vehicle being removed from the premises. The customer’s personal property is not covered under such insurance.

Drivers shall be between the ages of 25 years and 75 years and shall hold a full UK or EU Drivers Licence with no more than two, 3 point convictions (i.e. 2x Sp30’s, 3pts each). Single convictions totalling 6 points will require referral and must be notified prior to booking. Our insurance will not cover drivers with more than 6 penalty points.

A £500 excess applies to each claim made on the insurance policy. In the event of any damage to either the vehicle or third-party property, the customer will be liable for the insurance excess.

Any damage to tyres, windows and windscreens and any theft of personal property are not covered by the company’s insurance, and any such damage shall be at the customer’s expense.

The customer is responsible for all loss or damage arising from theft whilst the ignition keys of the vehicle have been left in or on the vehicle.

All vehicles are not to be used abroad, unless permission is given prior to the booking being confirmed. Doing so by the customer may render the insurance invalid.

Use for hire or reward is not permitted.

Driving by non-named drivers and any late returns of the Vehicle renders the insurance invalid and the driver therefore commits an offence under the Road Traffic Act and will be solely responsible for any damage or personal injuries incurred.

Invalid insurance also means the driver and customer becomes personally liable for:

  1. any accident or damage to the Vehicle.
  2. any injury or damage to any third party.

Any accident or any damage to the vehicle must be reported to Cleddau Campers Ltd immediately.

Travel insurance is the responsibility of the customer and it is recommended that the customer obtains such travel insurance to cover cancellation costs, personal luggage, money loss, personal accident and medical expenses.

In the unlikely event we are unable to supply the campervan as requested Cleddau Campers will refund all monies paid but will not be liable to pay for any incurred costs such as site fees etc.

Breakdown, Accidents and Incidents

All vehicles will be handed over in good mechanical condition. In the event of a mechanical breakdown, the customer is to contact the breakdown cover provider and inform Cleddau Campers Ltd immediately. Breakdown cover is provided for all our vehicles. If mechanical breakdown results in a shortened holiday Cleddau Campers Ltd will refund each complete day of non-use. Cleddau Campers Ltd shall not be held liable for any losses incurred e.g. missed ferry crossings, booked accommodation/activities, replacement vehicle costs or any other consequential loss claims arising from campervan breakdown or accident.

Road traffic accidents and theft must be reported to the nearest Police Station and Cleddau Campers Ltd immediately and where necessary an accident report form completed. In the event of theft a Police Incident number must be obtained.

Incidents caused through negligence; wrong fuel, loss of keys or overhead damage will automatically be charged to the customer. Minor repair goods (i.e. replacement bulbs, wiper blades or fuses) may be purchased by the customer with a maximum spend of £50 without prior consultation; only on presentation of valid VAT receipts will Cleddau Campers Ltd reimburse the customer.

The customer is liable as the bailee of the vehicle in respect of any fixed penalty offence committed in respect of that Vehicle under the Road Traffic Act 1988 and Road Traffic Offenders Act 1988; any excess parking charge which may be incurred in respect of that Vehicle in pursuance of an Order under Sections 45 and 46 of the Road Traffic Regulation Act 1984 or the Road Traffic Act 1991 during the period of hire. All parking, road-traffic or other legal violations are subject to a minimum £25.00 administration fee.


When you arrive to collect the van, please ensure you allow at least one hour for us to, produce documentation, process the security deposit and carry out condition checks of the van and provide you with a full demonstration.

Together we will check the condition of the van and you will acknowledge receipt of the van which appears, upon visual inspection, to be in good, clean condition and sound working order. It is your responsibility upon collection, to check the van for existing damage and to inform us of such before you depart of anything not already recorded.

Collection time is between 15.00 – 18.00 on your agreed collection day unless previously agreed at time of booking.

Out-of-hours collections (evenings) can be arranged, depending on staff availability, at an extra charge of £30. Please ensure to check availability as this service cannot be guaranteed.


Returns must be no later than 11am on your agreed return day unless previously agreed at time of booking.

Late return of vehicles (unless by prior agreement) will automatically render the Customer liable for an additional charge of £50 for each hour late or part of. Should the late return of the van make us liable for extra costs, we reserve the right to pass on these costs to you. Charges and costs for late return will be deducted from your security deposit. 

Upon return of the van, a full inspection will be carried out and the security deposit will be returned within 7 days.

The vehicle (interior & exterior) must be returned in an acceptable condition ready for the next customer requiring minimal effort to prepare. You agree that we are entitled to charge you an additional cost, if the van requires more than our standard cleaning on its return, to restore it to its pre-rental condition. If additional cleaning is required, charges will be made to the Customer at a rate of up to £80.

If vehicles are returned without a full tank of fuel, the Customer will be charged for each litre of fuel at a rate of £1.60 per litre.

Out-of-hours returns (early morning and weekends) can be arranged, when staff are available, for an extra charge of £30. Please ensure to check availability as this service cannot be guaranteed.

Cleaning – You agree that we are entitled to charge you an additional cost, if the van requires more than our standard cleaning on its return, to restore it to its pre-rental condition, allowing for fair wear and tear.

Health and Safety

You must follow the health and safety guidelines when operating the campervan and its appliances and using any equipment in the campervan. The instructions for using the van and its accessories and facilities including the health and safety guidelines are provided to you upon receipt of the van either verbally or within your welcome pack which can be referenced whilst you are away.

Drinking Water

The water system in all of our campers does not provide drinking water. We advise that drinking water is purchased or bottled using the facilities on your campsite. We cannot be held responsible for the cleanliness of drinking water obtained from various campsites.

Smoking Policy

A strict NO SMOKING policy is in place in all our campers. This includes smoking in the driving cab, immediately outside the doors or under the awning.

Pet Policy

We allow pet dogs to be carried in the vehicle but this must be notified to and agreed before travel.  The customer acknowledges and agrees that any damage, repair costs or extra valeting costs incurred from a pet being in the vehicle must be paid in full by the customer and will be deducted from the security deposit.



As part of this agreement, the customer agrees to a mileage limit of 150miles per day of the agreed hire. Any additional miles will be charged at rate of 0.45p/mile and the total cost will be deducted from the security deposit.

Your vehicle

During the period of the hire you may park your car at our premises but do so at your own risk.  We cannot accept responsibility for the loss of, or damage to your car or its contents unless caused by our negligence.

Use of Vehicle Statement

By agreement to the terms of hire, the customer agrees that during the rental period he/she will not and will not allow the vehicle to be;

  1. Driven otherwise than in a cautious, prudent and normal manner.
  2. Used in a manner that could cause damage to it or the vehicle’s hired contents.
  3. Driven in a prohibited area.
  4. Driven by a person under the influence of alcohol or drugs.
  5. Left with the ignition key in the vehicle while it is unoccupied.
  6. Left unoccupied with valuable contents in view.
  7. Driven by persons under the age of 25 years or over 75 years.
  8. Driven by persons not authorised by Law to drive the vehicle.
  9. Damaged by submersion in water.
  10. Damaged by contact with salt water.
  11. Used for any illegal purpose.
  12. Used for racing, rally or contest.
  13. Used to tow any vehicle or trailer.
  14. Used to carry passengers or property for hire and reward.
  15. Used to carry more persons than lawfully permitted.
  16. Used to carry volatile liquids, gases, explosives or other corrosive or inflammable materials.
  17. Otherwise used in breach of my obligations under this agreement.


Terms & conditions will need to be signed upon hire / delivery of the van. A copy of this will be supplied for you to sign.
